Job description
The role is responsible for overseeing and managing the HR operational processes related to employee transfers, employee data changes, offboarding, managing requests’ mailbox, and government-related surveys. This role ensures smooth execution and compliance with company policies and regulatory requirements, while enhancing the overall efficiency of HR operations across all entities.
General day to day responsibilities may include but not limited to the following:
Employee Transfer, Offboarding Process and Employee Data Change Management:
Oversee and manage the employee transfer and offboarding process across different business group, locations or departments.
Manage employee data change requests (e.g., personal information, job title, salary, etc.).
Manage work pass administration process.
Collaborate with HR teams (HR Business Partners, Total Rewards, Talent Acquisition, Payroll, HRIS etc.) to ensure smooth integration of processes and resolve operational issues.
Maintain accurate and up-to-date employee records during and after transfers and offboarding
Address any discrepancies or errors in employee data, ensuring that updates are implemented in a timely manner.
Work closely with IT/HRIS teams to troubleshoot data-related issues or system improvements.
Mailbox Administration:
Monitor, manage, and respond to inquiries and requests through the mailbox.
Ensure timely resolution of issues, queries, and requests related to HR operations.
Escalate complex or sensitive issues to appropriate HR personnel or management.
Government Surveys and Reporting:
Coordinate and manage government-related surveys, including compliance reporting, employee surveys, and other regulatory requirements.
Ensure data accuracy and timely submission in accordance with government policies.
Collaborate with internal teams to gather required information and ensure the completion of all necessary surveys.
Compliance and Documentation:
Ensure all HR operational processes comply with relevant laws, regulations, and internal policies.
Maintain proper documentation SOP and records related to employee transfers, data changes, and government surveys.
Continuous Improvement:
Identify opportunities for process improvements and propose enhancements to increase efficiency and accuracy in HR operations.
Participate in projects aimed at streamlining HR operational workflows.
Other tasks as assigned:
As part of the HR Services team, the role will be rotated to manage other staff movement processes including, onboarding, contract extension, work pass administration etc.
Support the execution of employee engagement and key people initiatives such as wellness programs, staff events, etc
Job requirements
Experience:
Bachelor’s degree in Human Resources, Business Administration, or a related field.
Minimum 5 years’ of relevant experience in HR Operations/ HR Services
Familiarity with government regulations, compliance, and surveys.
Skills and Competencies:
Strong knowledge of HR processes, employee data management, and compliance standards.
Excellent communication and interpersonal skills, with the ability to handle sensitive information with discretion.
Strong organizational skills and attention to detail.
Ability to work under pressure and meet deadlines.
Proficient in MS Office Suite (Excel, Word, PowerPoint) and HRIS systems.
Ability to work independently as well as part of a team.
A proactive and solution-oriented approach to problem-solving.
Flexibility and adaptability to change in a dynamic work environment.
