Job description


  • Fleet Circular / Alerts - Action Tracker and Filing.
  • Incident / NM Record tracker in KPI Monitoring - Updating of Matrix.
  • Monthly SOS Reports - Updating of Matrix.
  • Monitoring and tracking of audits, LTIF, TRCF - KPI monitoring (month-end).
  • Monthly HSEQA Reports between vessels and office.
  • Planning and arranging of shore staff trainings and updating of SMS Matrix.
  • Delivery arrangements of logbooks to vessels and the planning of printing stock.
  • Recording and filing of Quarterly Meeting Reviews, Crew / Vessel / Customer Feedbacks, Document Change Requests.
  • Quarterly Masters’ Reviews.
  • SRS / ART - weekly visiting vessel in Singapore.
  • Recording and filing of HSE Fleet Statistics, SIRE, FSC, PSC, Incident Trackers.
  • Recording and scheduling of lifeboat lowering drills.
  • Non-PO Invoices (sending to Esker directly).
  • New vendor creation in SAP MDG.
  • Monitoring assigned individual KPI which is made available within the HR Success Factor dashboard and review the result on a periodical manner.

Job requirements

  • A similar work experience or adequate sailing experience with basic knowledge of ships and safety operations onboard. 
  • Basic computer skills of MS Office Suite.
  • Basic communication skills.
  • Knowledge on administrative duties including invoicing, logistics, courier and parcel bookings.
