Job description
Ensure timely, smooth and successful crew changes operation.
I. Undertakes the following tasks for assigned Principal’s vessels:
Planning of the crew changes of the handled vessels as applicable.
Communication with principals and vessels on the planned crew changes.
Communication with various department for the approval of the planned crew changes if necessary.
Establishment of crew availability for pooling requirement.
Evaluation and verification of seafarer’s documents.
Progress monitoring of completion of seafarer’s documents and follow up of required documents, including renewal of trainings.
Prepares and issues Pre-Employment Medical Referral Slips for concern approved/slotted seafarers.
Monitors and follow ups PEME result and its receipt from concerned accredited medical clinic:
Prepares and issues Training Referral Slips for concern approved/slotted seafarers and/or as per instruction of principal.
Communication with accredited travel agencies regarding flight booking requirements and provision of the required travel documents to ensure the cost-effective and timely flight is attained.
Communication with principals, agents, and vessels with respect to the arranged flight bookings and other matters related to the crew change.
Assistance for joining and/or repatriating seafarers during crew change in Philippine ports including arrangement of immigration requirements for both local and foreign seafarers.
Dispatch of all Parcels/Documents being sent to and/or from concerned vessels.
Preparation and transmittal of Permit to Serve Certificate (PTS) applications and monitoring of its expiry ensuring corresponding PTS certificate/s is obtained on time.
Briefing of joining seafarers regarding travel itineraries and related matters and dispatch.
Monitors and follow ups PEME result and its receipt from concerned accredited medical clinic.
Purchasing and issuance of working gear for concerned joining seafarers as necessary.
II. Updates the Embarkation and Disembarkation details in the concerned Principal’s crew system.
III. Updates movements in the COMPAS as well as Principal crew system (if applicable).
IV. Handles withdrawal of seafarers’ documents.
V. Ensures that all the documents and requirements of the joiners are physically complete and uploaded in the COMPAS prior to departure.
VI. Responsible for the quality of work in compliance with ISO 9001 Standards.
VII. Performs other related functions that the immediate superior may assign.
Other Duties and Responsibilities:Assist with the task assigned by Department Head in monitoring daily maintenance and organization of the assigned 201 files, vessel files and data-based records.
Assist with the task related to wives’ association programs
Job requirements
College Degree
Preferably in Human Resource Management, General Business o Similar Qualifications in Maritime Studies.
Preferably 1 years' experience in Maritime Industry.
Preferably 1 years' experience in the Port Operations and Immigration Requirements.
