Job description

KEY RESPONSIBILITIES

  • Providing administrative support to the entire project team, including scheduling meetings and booking meeting rooms, arranging travel itineraries, completing travel claims and managing calendars for the Project Manager.
  • Coordinating with the project team and works closely with document controllers to ensure that project documentation, including contracts, permits, and engineering documents, is properly organized and maintained.
  • Organizing and all managing all internal and external project communication and correspondence, including emails, phone calls, and letters from various stakeholders as well as Client/COMPANY.
  • Ensuring that project documentation is properly distributed to stakeholders, including contractors, suppliers, and regulatory agencies.
  • Assisting in the preparation of project reports, including progress reports, status reports, and financial reports.


Job requirements


  • A degree or diploma in business administration, office administration, or a related field.
  • Relevant experience in administrative support or secretarial roles, preferably in the offshore industry.
  • Strong organizational skills, including the ability to manage multiple tasks and priorities.
  • Excellent communication skills, including the ability to communicate effectively with stakeholders.
  • Strong attention to detail, including the ability to review and proof-read documents.
  • Proficient in using office software, such as Microsoft Word, Excel, and PowerPoint.
  • Familiarity with project management software and tools, such as Microsoft Project, document control system and SAP system is an advantage
  • Ability to work effectively as part of a team and to coordinate with different stakeholders, including contractors, suppliers, and regulatory agencies.
  • Fluent in English
