Job description

This position is for Johor Bahru City Square Mall, a company under Allgreen Properties Ltd.

Responsibilities:

  • To lead and manage the leasing dept and team, by providing the leadership and direction to achieve the company objectives, goals and KPI.
  • To develop and implement leasing strategies & plans to improve the profitability of the leasing department and achieve the Leasing KPI.
  • To plan, develop and manage the leasing budget and review the performance and take remedial action to ensure the budget and KPI are achieved and have monthly review with superior.
  • To manage and improve the occupancy rate of the Mall and ensure the tenancy mix / trade mix and brand mix are optimized to the best of the Mall and align to leasing budget and strategies.
  • To manage and lead the best practices in tenancy management, tenancy renewal, expiry & termination including all Letter of Offer (LOO), Tenancy Agreement (TA), License Agreement (LA) and any other documentations processes.
  • To assist, attend & liaise with tenants/ retailers & solicitors on tenancy agreement clauses/ provisions and documentations /execution and ensure that proper management approval is obtained for any amendment.
  • To manage and review tenancy performance in terms of rental yield, Gross Sales Turnover (GTO), % rent, occupancy cost and overall sales performance psf for the Mall improvement.
  • To manage and ensure that all leasing reports and documentation are properly recorded, file and documented for safe keeping and in accordance to company SOP.
  • To lead, guide and train leasing team and to maintain professionalism & standards with high integrity and performance. Providing support to the team and assisting in tenancy negotiation.
  • To manage and attend to tenants’/retailers’ queries, requests, feedbacks, and complaints with a view to rectify/resolve issues for services improvement and maintaining strong relationship with all tenants / retailers.
  • Monitoring closely all tenants’& pushcarts rental income collection and analyzing all tenant’s performance to take necessary steps & legal action to ensure all collections are according to company policy.
  • To check and verify all tenancy information key-in and updated into MRI system to ensure accuracy of data & information.
  • To ensure that all tenants POS system are link to our company POS system and are update on monthly basis. Monthly monitoring and review must be done and remedial action is taken to improve the performance of tenants Gross Sales Turnover % rent.
  • To liaise, monitor and update the finance department on billing, collection and reporting.
  • Compilations, updating and generating periodic reports on weekly/monthly/quarterly/yearly on timely basis for management reporting & are reviewed with remedial action for performance improvement.
  • To conduct regular market study and gathering of leasing information on tenants/ retailers/ market competitors for improvement of the Leasing dept performance.
  • To plan, review and evaluate the KPIs for your staff Performance on periodic review and provide quarterly reporting on the KPIs.
  • Review existing Standard Operating Policy and Procedures (SOPP), and propose enhancement and ensure full implementation of SOPP and compliance.
  • To Plan, develop and review your manpower management including manpower development, coaching, training and improvement action to enhance the productivity of team.
  • To ensure good teamwork and cooperation among all staff within the dept and inter-dept in harmonies working environment
  • To ensure that all confidential information in leasing dept is kept within the dept and company and must not be shared to any third parties.
  • Any other duties assigned by the Management / GM.

Job requirements

  • Minimum of Bachelor Degree in Property Management, Retail Development, Marketing or a related field is preferred.
  • Computer literate in Microsoft Office Application. 
  • A team player and also able to work independently under minimum supervision. 
  • Applicants with 10 years or above experienced in Property & Mall Leasing would be an added advantage.
