Job description
Responsibilities
Drydock Support
Assist Technical Sup in preparing Authorization for Expenditure based on the appropriate work Breakdown Structure and ensure completeness in the scope of work
Verification of cost Centre for requisitions raised by Technical team
Set up schedule planning and coordinate attendance by service engineers
Perform verification on manhours and timesheet submitted by service engineers
Track variation orders from shipyard and update cost control team
Track status of critical equipment parts shipment
Participate in drydock closure process through verification of job completion status (vs scope of work) and review of open PO report.
Maintain critical drydock documentation for postmortem review and future planning purposes.
Monitoring of Technical Vessel Operating Expenditure (“VOE”)
Preparation of vessel monthly technical VOE analysis and provide key highlights to Technical Manager
Support in the monthly accruals review for Technical VOE
Asset Management and Compliance
Maintain and update vessel's trading certificates
Apply for the renewal of key certificates such as Bunker Convention Certificate, ship station
license and Wreck Removal Certificate from the vessel's flag
Prepare and circulate the monthly vessel compliance status report
Prepare and circulate key vessel performance status reports
Support on documentation requirements in event of insurance claims.
Other Support
Preparation of purchase orders for Technical related spent
Administrative support to technical team which may include expediting delivery of critical parts for vessels and ad hoc payment request for urgent purchases as well as travel arrangements
Job requirements
Diploma or above in a related field e.g. Maritime Business, Engineering, Supply Chain, Business
Administration. Equivalent formal experience and training will be considered.
Minimum 3 years’ experience operating in technical executive support role within a maritime industry preferably with vessel management exposure
Previous experience in supporting vessel drydocking will be advantageous
Knowledge of other computer software and programs where applicable – SAP, ABS NS, SAP and Microsoft Office tools
Strong initiative and multi-tasking skills
Time management skills with a strong sense of prioritization and follow through strong planning, organizing, coordinating, problem solving skills
